POSITION ANNOUNCEMENT

POSITION: Administrative Specialist – Facilities and Maintenance

POSITION DESCRIPTION: This position is responsible for performing administrative and clerical duties in support of the Director of Facility Management and Public Safety.

MAJOR DUTIES:

· Compiles and maintains employee time records; reviews time records for completeness.

· Compiles and maintains annual, sick and personal leave records.

· Receives work requests and distributes to maintenance, grounds and custodial staff.

· Tracks work orders and closes upon completion.

· Obtains pricing from vendors for custodial supplies, maintenance equipment and materials as needed.

· Compiles and submits supply, equipment and materials requisitions to purchasing department.

· Coordinates the work of external contractors for the water treatment, elevator, parking lot lighting, and trash collection.

· Schedules the repair and maintenance of fleet vehicles.

· Maintains reservations of fleet vehicles for faculty and staff.

· Schedules the maintenance of vending machines; provides vending machine refunds to students, faculty and staff as needed; maintains refund log for submittal to vending company.

· Compiles and submits yearly staff development plans for department employees.

· Tracks monthly utility usage for all campuses.

· Assist with surplus of furniture, equipment and other items as needed.

· Assist with cyber locks, keys and installation of authorizing systems related to Cyber locks and purchasing of new equipment.

· Oversees the maintenance of recycling area.

· Answers telephones and greets visitors; provides information and assistance.

· Maintains files and records.

· Performs other related duties as assigned.

MINIMUM QUALIFICATIONS:

· High School diploma required.

· Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

· Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia for the type of vehicle or equipment operated.

SALARY/BENEFITS: $43,559.22 annually. Benefits include paid holidays, annual leave, and the State of Georgia Flexible Benefits Program. Please be aware that all Chattahoochee Technical College employees must be paid by direct deposit, unless exempted by the State Accounting Office based on “hardship” evidence provided by the employee.
